Connecting Exact Online
Exact Online has a REST API that lets other software read and update your accounts. That makes integrations possible with your web shop, your time tracking and your reporting. This is what the API offers, how access works, where the limits are and what goes wrong in practice.
What you can reach through the API
Exact Online's documentation divides the API into groups.
- CRM: accounts, addresses, contacts, bank accounts and quotations.
- Sales: sales invoices, sales orders and their lines.
- Financial: general ledger accounts, journals and transaction lines.
- Purchase: purchase invoices and purchase orders.
- Logistics: items, warehouses and sales prices.
- Projects: projects, hours and costs.
How access works
You register an app with Exact and the user grants that app permission once through OAuth. After that the integration works with tokens that expire and are renewed. An integration that does not renew properly stops after a short time. That is the most common failure.
Limits and how to handle them
Exact caps the number of requests per minute and per day per administration, and reports the current state in the response headers. Whoever reads those headers knows when to wait. Whoever ignores them gets error codes at the busiest moment. Two things help: most lists return sixty records per page, but the sync endpoints return a thousand and only what changed. Exact itself recommends using those where possible.

- Web shop to Exact: every order becomes a sales order or invoice, with the customer added if new.
- Hours to invoices: hours from your planning or time tracking become a draft invoice per customer per month.
- Exact to reporting: revenue, outstanding items and costs in a dashboard, without exports.
What goes wrong in practice
- Multiple administrations: an integration that writes to the wrong one is only noticed by the accountant.
- VAT codes and ledger accounts named differently in the web shop than in Exact.
- An employee who granted the permission and leaves, so the integration loses its access.
Frequently asked questions
Can I connect Exact Online without programming?
For standard packages there are ready-made integrations in Exact's App Store. Once you want your own rules, such as an exception per customer or a check before posting, custom work is needed.
Does this also work for the accountant edition?
The API works per administration. An accountant with many administrations has an integration that switches per administration and tracks the limits per administration.
What if Exact changes the API?
Exact publishes changes in advance. Managing the integration means we read those announcements and adjust the integration before anything stops.
